DataMills tackles challenges posed to organizations which move their email data to Google Apps: Automating the collection process of PST files before they get migrated; as well as providing an on-premises backup of the Google Apps email data.

Email cloud services are catching on, and a rising number of enterprises are deciding to move their email services over to Google Apps. This move involves phased data migration processes, which is far more complex than these companies initially expected.

The first daunting challenge associated with such migration, which DataMills solutions meet head-on, is locating and aggregating the Outlook data file (PST).

In most organizations, PST files contain more than 90% of the email and contact data, making it the biggest resource of email data which should be migrated. PST files can be located anywhere on the user’s computer or on the network, and they cannot be simply copied while they are in use by Outlook, which creates a very difficult and time-consuming challenge to aggregate them.

“Our PST Aggregation products provide unique tools that automate the collection of scattered enterprise PST files into a central location”, explained Yoram Barzilai, CEO of DataMills. “This way, migration products such as Google’s GAMME (Google Apps Migration for Microsoft® Exchange®) server will be able to seamlessly and automatically migrate the PST files to Google Apps.”

Some organizations, instead of migrating their existing PST files to the cloud, prefer to use our PST aggregation tools for creating a central PST archive for future reference.

These tools enable organizations to achieve substantial savings that could reach hundreds or even thousands of manual work hours associated with such email migration processes, as well as eliminating human errors.

“Another aspect of migrating into the cloud is that some enterprise customers are reluctant to completely surrender their email data without having a local copy”, says Yoram Barzilai. “For those customers that continue to use Outlook as their email client, our EdgeSafe PST2PST Backup solution should reduce this concern, by enabling them to keep a local copy of their data in central on-premises location.

This backup copy will be seamlessly synchronized with the Google Apps email (email contacts, calendar, etc.) data in an efficient incremental manner and will be stored in a standard PST file format which can be shuttled and immediately used by Outlook.”

Now that Outlook 2010 and Exchange Server 2010 are released, what do IT managers do with Outlook users who are not upgraded? There are good reasons not to upgrade certain users (and accounts).

There are systems and users who need to upgrade to 2010 but also need to keep their older accounts intact. There are resource, finance and operation limitation which simply do not give IT managers the ability to upgrade. This limits the use of new Outlook and Exchange features for some users. It also places more demands on system admins and IT managers.

Installations are becoming more complex with mixed versions and different features for some users. One big problem is how to handle backup and restores in such installations. System admins may need to support different Exchange Server versions at the same time. What will happen to old PST files? There is a large amount of data in older PST files which still needs to be accessed!

PST2PST Backup Agent gives users

The number 1 reason users like EdgeSafe PST2PST Backup is the ability of Outlook user to backup on their own. This “self service” backup feature is used by clicking a system tray button. This starts the local “agent” with a simple interface showing all the backed up PST databases. This gives users the location, date and status of the last backup. This “self service” backup feature is installed automatically on the user’s workstation.

For system administrators and IT managers it gives an easy way for users to:

  • Backup their own Outlook data anytime.
  • Restore their own Outlook data any time they need it.
  • Show users their backed-up data (reduce stress in users.)

One helpful tool that is provided with EdgeSafe setup files is the diagnostics setup that can be useful in checking backup agent to control station connectivity for EdgeSafe installation. This is used for troubleshooting from the client systems whereas the other diagnostics module covered earlier is run from the central control station.

This tool needs to be installed on the client workstations where EdgeSafe PST2PST backup agent is installed and only when the backup agent installation is complete on client systems.

From the folder named Util, within that the diagnostics tool subfolder is present which contains the below setup file for diagnostics.

Run the file to install client side diagnostics from the specified location. On finishing installation, the backup agent needs to be restarted in order for the diagnostics tool to integrate with the agent successfully.

Right click the @ icon to first shutdown the backup agent (present in taskbar) and then restart the agent by going to Start >Programs>DataMills>PST2PST Agent.
